This page describes how the OpenVoz backend handles account data, speaking practice data, assessment results, progress history, and deletion requests.
Data We Collect
- Account and authentication details such as username, name, email address, token state, and subscription status.
- Speaking practice data such as uploaded audio submitted for transcription, transcripts, conversation entries, session metadata, speaking language, practice mode, and replay links.
- Assessment data such as assessment reports, criterion results, feedback, evidence references, and completion timestamps.
- Progress and history data such as completed sessions, assessments completed, streaks, milestones, and recent assessment history.
- Consent and governance data such as analytics consent, AI-improvement consent, AI usage events, and data-deletion requests.
How OpenVoz Uses Data
- Authenticate users and serve profile, dashboard, subscription, and consent views.
- Store speaking transcripts and build session history from completed conversations.
- Generate and store assessment reports and feedback from completed speaking sessions.
- Build progress and history views from completed sessions and assessment records.
- Record and track deletion requests submitted from the app.
External Processing
When you submit speaking audio, OpenVoz sends that audio to OpenAI Whisper for transcription. The backend also uses OpenAI-backed provider components for approved follow-up and assessment capabilities in the speaking flow. OpenVoz stores the resulting transcript, conversation record, and assessment output on its own backend.
Data Sharing
OpenVoz uses OpenAI for transcription and approved speaking-assessment features, and SendGrid for transactional email delivery. These service providers process data only as needed to provide those functions.
Deletion Requests
You can request deletion from the app. OpenVoz records the request and completes account deletion requests within 7 days, except where specific information must be retained to meet applicable legal obligations.
Retention
OpenVoz retains account, conversation, transcript, assessment, consent, AI usage, and deletion-request records only for as long as reasonably necessary to provide the service, meet legal obligations, resolve disputes, and maintain security. Users may request deletion through the app.
